Camp Piankatank Cancellation Policy
Camp Piankatank Registration & Refund Policy
A camp registration reserves a spot for your child that cannot be offered to another camper. By completing registration, you are confirming that you have reviewed Camp Piankatank’s program, location, and mission and believe your child is ready to attend. You are also confirming that you have made arrangements for the week of camp and are able to meet the published drop-off and pick-up times.
Refunds Requested Before the Cancellation Deadline
Our refund policy is based on the program and the date the cancellation is received.
The $100 camp deposit is non-refundable for any reason. This deposit covers costs associated with reserving your camper’s spot, staffing and program planning, supplies, registration system fees, and processing fees.
Additional payments may be eligible for a partial refund if your cancellation is received before the following deadline:
Summer Camp: May 1
Includes Overnight Camp, Day Camp, Minnow Camp, and Camp Together
Winter Blast Youth Retreat: December 18
Spring Break Day Camp: February 1
Cancellations After the Deadline
After the applicable cancellation deadline, Camp Piankatank may consider a partial refund only for the following circumstances:
Documented illness: The camper has a documented illness involving fever or vomiting, supported by a physician’s note, and the camper is unable to reschedule for another available week of camp.
Death of an immediate family member: The funeral occurs during the camper’s scheduled camp session, and the camper is unable to reschedule for another available week of camp.
If a refund is approved for one of these circumstances, Camp Piankatank will retain the following amounts to cover costs already incurred:
$150 for Day Camp and half-week programs (Minnow Camp and Camp Together)
$300 for Sunday–Friday Overnight Camp
These retained amounts cover costs associated with holding the camper’s reservation, including food, supplies, staffing, and program planning.
No Refunds for Early Departure
No refunds are provided when a camper leaves camp early due to sickness, homesickness, or behavioral issues, including when a camper is sent home for behavioral reasons.
